Terms of Service

Please read these Terms carefully. By accessing aromology.com, creating an account, or placing an order, you agree to be bound by them.

 

1. Introduction & Acceptance of Terms

These Terms of Service ("Terms") govern your access to and use of the website located at aromology.com (the "Website"), and any purchase of products made available for sale by Aromology Trading LLC ("Aromology," "we," "us," or "our"), a company registered in the United Arab Emirates.

By accessing the Website, creating an account, or placing an order, you ("you," "your," or "Customer") agree to be bound by these Terms in full. If you do not agree to these Terms, you must not use the Website or purchase products from us.

We may update or amend these Terms from time to time as described in Section 16. Your continued use of the Website following any changes constitutes your acceptance of the revised Terms.

2. Definitions

·    "Website" means aromology.com and all associated subdomains and pages.

·    "Products" means all perfumery raw materials, fragrance ingredients, and related goods offered for sale on the Website.

·    "Order" means a request to purchase Products submitted through the Website.

·    "Content" means all text, images, product descriptions, graphics, logos, and other material appearing on the Website.

3. Eligibility & Account Registration

3.1 You must be at least 18 years of age to purchase Products from the Website. By placing an order, you confirm that you meet this requirement.

3.2 If you create an account, you agree to provide accurate, current, and complete information, and to keep this information up to date.

3.3 You are responsible for maintaining the confidentiality of your account login credentials and for all activity that occurs under your account. Notify us immediately at the contact details listed in Section 18 if you suspect unauthorized use of your account.

3.4 We reserve the right to suspend or terminate any account, at our discretion, where we reasonably believe these Terms have been violated.

4. Products & Descriptions

4.1 We make reasonable efforts to ensure that Product descriptions, images, scent profiles, and specifications displayed on the Website are accurate. However, due to the natural origin of many raw materials (including absolutes, essential oils, and oud oils), minor variations in colour, scent, and consistency may occur between batches. Such variation is inherent to natural materials and does not constitute a defect.

4.2 We reserve the right to modify, discontinue, or limit the availability of any Product at any time without prior notice.

4.3 All Products are sold subject to the batch or lot available at the time of dispatch. Where a specific batch or Certificate of Analysis is required, Customers should contact us prior to ordering.

5. Pricing & Payment

5.1 Prices displayed on the Website may be shown in different currencies depending on the Customer's region or selected storefront settings, and are subject to change without notice. The currency and final amount charged will be confirmed at checkout.

5.2 Prices exclude import duties, customs fees, and applicable taxes in the destination country unless explicitly stated. These charges are the sole responsibility of the Customer.

5.3 We accept payment via the methods indicated at checkout. Payment must be received in full before an order is processed for dispatch, unless otherwise agreed in writing.

5.4 In the event of a pricing error on the Website, we reserve the right to cancel any affected order, whether or not the order has been confirmed, and to issue a full refund.

5.5 For international orders, currency conversion rates are determined by your payment provider and may differ from the price displayed on the Website. We are not responsible for such variations.

6. Order Acceptance & Contract Formation

6.1 Placing an order constitutes an offer to purchase. An order confirmation email acknowledges receipt of your order but does not constitute our acceptance of that order.

6.2 A binding contract of sale is formed only when we dispatch the Products to you, confirmed via a dispatch/shipping notification.

6.3 We reserve the right to refuse or cancel any order at our discretion, including but not limited to circumstances involving suspected fraudulent activity, suspected unauthorized resale, pricing errors, or concerns regarding compliance with export/import regulations.

7. Shipping & Delivery

7.1 Shipping timelines, costs, and methods are set out in our Shipping Policy, available on the Website. Estimated delivery times are provided in good faith but are not guaranteed.

7.2 For international orders, the Customer is solely responsible for ensuring that the import of Products into their country complies with all applicable local laws and regulations, including any restrictions relating to specific aromatic materials.

7.3 We are not liable for delays caused by customs processing, courier delays, or other circumstances outside our reasonable control (see also Section 14, Force Majeure).

8. Returns, Refunds & Cancellations

8.1 Our returns, refunds, and cancellation terms are set out in our Refund Policy, available on the Website.

8.2 Due to the nature of perfumery raw materials, opened, used, or altered Products (including broken seals on bottles) may not be eligible for return, except where required by applicable consumer protection law or where the Product is confirmed faulty.

9. Product Safety & Usage Disclaimer

The products supplied by Aromology Trading LLC are high-quality, professional-grade perfumery raw materials intended solely for fragrance creation, cosmetic formulation, research, evaluation, and other professional applications.

Unless expressly stated otherwise, these products are not intended for internal consumption, ingestion, food use, therapeutic use, or medicinal purposes. They should only be used by individuals with appropriate knowledge of their safe handling and intended applications.

Customers are solely responsible for ensuring that all products are used, handled, diluted, stored, labelled, and disposed of in accordance with applicable laws, regulations, and recognised industry safety practices. Aromology Trading LLC accepts no liability for any injury, damage, loss, or adverse effects arising from the misuse, improper handling, incorrect storage, unauthorised application, or use of these products outside their intended purpose.

Many perfumery materials are highly concentrated and may cause skin irritation, eye irritation, allergic reactions, or other adverse effects if handled improperly. Appropriate personal protective equipment should be worn where necessary, and relevant Safety Data Sheets (SDS) should be consulted before use.

These products are not toys and must be kept out of the reach of children and pets at all times. Store in tightly closed containers in a cool, dry place away from heat, ignition sources, direct sunlight, food, and beverages.

By purchasing and using products supplied by Aromology Trading LLC, the customer acknowledges that they understand the nature of professional perfumery materials and accepts full responsibility for their safe handling and use.

10. Intellectual Property

10.1 All Content on the Website, including but not limited to text, product photography, descriptions, logos, and the "Aromology" name and trademarks (UK Trademark Registration No. UK00003422717; UAE Trademark Registration No. 377869), is the property of Aromology Trading LLC or its licensors and is protected by applicable intellectual property laws.

10.2 You may not reproduce, distribute, scrape, republish, or exploit any Content from the Website for commercial purposes without our prior written consent.

10.3 References to third-party ingredient suppliers, manufacturers, or brand names on the Website are used descriptively to identify the origin or composition of Products and do not imply any affiliation, sponsorship, or endorsement by those third parties unless explicitly stated.

11. Acceptable Use of the Website

You agree not to:

·    Use any automated system (including bots or scrapers) to access or interact with the Website;

·    Attempt to gain unauthorized access to any part of the Website or its systems;

·    Use the Website for any fraudulent or unlawful purpose;

·    Interfere with the proper functioning of the Website.

We reserve the right to restrict or terminate access to the Website for any Customer found in breach of this section.

12. General Limitation of Liability

12.1 To the fullest extent permitted by applicable law, Aromology Trading LLC shall not be liable for any indirect, incidental, special, or consequential damages arising out of or in connection with your use of the Website, including but not limited to website downtime, order processing errors, or failures of third-party service providers (including payment processors and couriers).

12.2 This Section 12 applies to the general operation of the Website and your relationship with us as a business, and is separate from the Product-specific disclaimer set out in Section 9.

12.3 Nothing in these Terms shall exclude or limit liability that cannot lawfully be excluded or limited under applicable law, including liability for death, personal injury caused by negligence, or fraud.

13. Indemnification

You agree to indemnify and hold harmless Aromology Trading LLC, its officers, employees, and affiliates from and against any claims, damages, liabilities, and expenses (including reasonable legal fees) arising out of your misuse of any Product, your breach of these Terms, or your violation of any applicable law or third-party right.

14. Force Majeure

We shall not be liable for any failure or delay in performing our obligations under these Terms where such failure or delay results from circumstances beyond our reasonable control, including but not limited to customs delays, supplier shortages, natural disasters, labour disputes, strikes, or changes in import/export regulations affecting aromatic or restricted materials.

15. Governing Law & Dispute Resolution

15.1 These Terms shall be governed by and construed in accordance with the laws of the United Arab Emirates, without regard to conflict of law principles.

15.2 Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the competent courts of Dubai, United Arab Emirates, except where mandatory consumer-protection law requires otherwise.

16. Changes to These Terms

We reserve the right to amend these Terms at any time. Material changes will be indicated by updating the "Effective Date" at the top of this page. Your continued use of the Website following the posting of any changes constitutes acceptance of those changes.

17. Severability

If any provision of these Terms is found to be invalid or unenforceable by a court or authority of competent jurisdiction, that provision shall be limited or eliminated to the minimum extent necessary, and the remaining provisions of these Terms shall remain in full force and effect.
